Real-Time AI Meeting Assistant for Zoom, Meet, and Teams (No Bot)

A real-time AI meeting assistant helps while the other person is still talking. A meeting bot helps after they hang up. If you searched for a live overlay for Zoom, Google Meet, or Microsoft Teams, you want the first one: transcript on screen, a line you can say, and no extra name in the participant list.

What “real time” should mean

  • Text starts appearing while someone is speaking, not only after a long silence.
  • The answer is short enough to say before the pause gets awkward.
  • Nothing joins the meeting. The assistant is software on your computer.
  • You still get notes at the end. Live help and a summary are not competing products.

Bot notetaker vs desktop overlay

Otter, Fireflies, Fathom, and the built-in companions from Zoom or Meet are built to record, transcribe, and email a recap. Many of them join as a visible participant, or they require the host to allow a companion. That is the right tool when the goal is an archive.

It is the wrong tool when the goal is the next sentence. By the time the recap arrives, the pricing question, the objection, or the support ticket has already moved on. A desktop AI meeting copilot listens to system audio on your machine and draws on your display. Kalfi is in that second category. The longer note on summaries is AI meeting assistant for notes and summaries.

AI assistant for Zoom

Zoom does not need a plugin for this. Kalfi hears the Zoom audio your computer is already playing, including when you wear headphones. Share a window rather than the whole screen when you present, and check that the overlay stays off the share. Zoom’s own AI Companion is a host-side feature with its own admin switches. It does not draft a private line only you can see.

AI assistant for Google Meet

Meet runs in the browser, which is why a second browser tab is a risky place to keep answers. A desktop overlay sits outside Chrome. Meet’s Gemini notes, where your Workspace admin allows them, are still a meeting product for the group. They are not a private prompt. If you present a tab, present that tab, not the entire screen, and confirm the overlay is excluded.

AI assistant for Microsoft Teams

Teams is the same pattern: system audio in, overlay out, no bot admission prompt. Copilot in Teams is licensed and visible to the tenant. Use it when the company wants a shared recap. Use a local overlay when you need a private line in a call the tenant is not summarizing for you.

What happens during the call

  1. You pick a mode: interview, client meeting, or a general chat, and you paste only the context that mode needs.
  2. Audio is cut into short pieces as people talk. A partial line shows up before the utterance is finished.
  3. When a question lands, Kalfi drafts an answer in the length and tone you set: brief or detailed, formal or casual.
  4. Optional translation can show the live transcript in another language. The answer itself stays in the language of the session.
  5. At the end you can generate a summary of decisions and next steps. History does not hijack the live session.

Client-specific setup is in AI assistant for client meetings and sales calls. Support teams have a separate walkthrough: customer support calls.

Limits worth knowing before you rely on it

What it costs

BYOK is $14/month and you pay OpenAI or OpenRouter for usage. Hosted is $19/month with a quota, no key. Team is $49/month for three Hosted seats. One call is a $9 Session Pass: two hours, expires in 30 days if you never start it. The first three days of Hosted are free, no card, about an hour of live answers, once per email and device.

Questions

Is there an AI meeting assistant that does not join as a bot?

Yes. Kalfi stays on your computer. Bot notetakers join the room. Pick based on whether you need help now or a transcript later.

Does it work with Zoom, Google Meet, and Microsoft Teams?

Yes. It uses system audio, so the meeting app does not need an integration. Headphones are fine.

Can other people see the overlay when I share my screen?

Often no, if capture protection is working for that app. Prove it on a test call. The macOS privacy indicators still show.

How much does Kalfi cost?

$14 BYOK, $19 hosted, $9 for one session, $49 for three Hosted seats. Three-day trial, no card.

Run it on the next call, not in another tab

Mac, Windows, and Linux. 3 days free, then $14 or $19.
