AI Assistant for Client Meetings and Sales Calls
Client meetings are where trust is won or lost in a few seconds. The client asks if the deadline still holds, whether the integration supports their CRM, or why the quote went up, and they read your hesitation as much as your answer. Kalfi is a real-time AI assistant that helps you answer clearly, stay inside what was agreed and leave every meeting with clean notes.
The short version
- Client meeting mode takes the client, project, scope, meeting goals and talking points as context.
- When the client asks something, Kalfi drafts an answer grounded in that scope, so you do not promise what was never agreed.
- Project threads carry context from one meeting to the next; Summary captures decisions and next steps.
- Works for agencies, freelancers, consultants, account managers, pre-sales and support. Mac and Windows, any call app, no bot joins.
- 3-day free trial, then $19/month hosted, $14/month BYOK or $49/month for three seats.
What goes wrong in client meetings
Ask anyone who runs client calls for a living and the same moments come up:
- The question you did not prepare for. "Can it also export to SAP?" "What happens to our data if we cancel?"
- Scope creep in real time. "While we're at it, could you also add..." and saying yes too fast.
- The pricing push. A discount request, a budget objection, a comparison with a cheaper vendor.
- "As we discussed last time..." and you cannot remember what was discussed last time.
- Second-language pressure. You know the answer, but finding polished English words on the spot is hard.
- The follow-up that never gets written because the next meeting starts in two minutes.
Kalfi addresses each of these directly, without changing how the meeting looks to the client.
Client meeting mode, field by field
Each session has a type. Client meeting mode asks for exactly what a client call needs:
- Client: who you are talking to and their role.
- Project or feature: what the meeting is about.
- Scope and requirements: what has been agreed. This is what keeps answers honest.
- Meeting goals and notes: what you want out of this call.
- Talking points: pricing rules, product facts, case studies, objection handling, anything you want reused naturally.
Then set answer length (brief, balanced or detailed), tone (formal, neutral or casual) and the meeting language. The system prompt tells the AI to prefer action-oriented answers ("We can...", "Next step is...", "The risk is...") and to use earlier turns in the same thread as memory.
Four real-world scenarios
Agency account manager: the scope question
The client asks: "Can you add a loyalty program to the app before launch?" With the scope loaded, Kalfi drafts: "Loyalty isn't in the current scope, which covers checkout and accounts. We can scope it as phase two. If launch can't move, the fastest option is a simple points banner, and I'll send an estimate by Thursday." You stay helpful without silently absorbing extra work.
Freelancer on an Upwork client call
Many freelancers win and keep clients on video calls in English that is not their first language. Put your service, rates and portfolio highlights in the context. When the client asks about timeline, revisions or rate, Kalfi suggests a clear answer you can say in your own voice. If you miss part of the question, press Mic Ask and restate it.
SaaS pre-sales engineer: the technical demo
A prospect asks about SSO, data residency and API limits in the same five minutes. Paste the security overview and integration notes as talking points, and Kalfi drafts precise answers from them. Questions it cannot answer from your material are the ones to note down and follow up on, not to improvise.
Customer support and success
Support calls are client meetings with less time to think. The full workflow for support teams, including technical troubleshooting and refund conversations, is in AI assistant for customer support calls.
Memory: threads and summaries
Client work is a series of meetings, not a single event. In Kalfi you start each follow-up meeting inside the same project thread, so the context is already there. At the end of each meeting, Summary writes an overview, key points, decisions and commitments, and open questions with next steps. Paste it into your follow-up email or project tool and the next call starts from a shared record instead of memory. More on note taking in AI meeting assistant for notes and summaries.
It knows who said what
In Both mode Kalfi transcribes the meeting audio and your microphone separately. The transcript labels each line as Client or You, and the AI receives that labelled conversation. That matters: your own sentences do not trigger answers, and when you restate a client's question with Mic Ask, Kalfi knows it is your restatement and answers the client's question instead.
Use it as a co-pilot, not an autopilot. Read the suggestion before you say it, especially numbers, dates and commitments. If your contract or the client's policy restricts AI tools on calls, that decides it.

Questions
Will my client know I am using Kalfi?
No bot joins and nothing changes in the meeting. The overlay is protected from screen capture on supported systems; test your setup before a call that matters.
Can it help on sales calls?
Yes. Add product facts, pricing rules and objection handling as talking points and Kalfi drafts answers from them.
Does it work in languages other than English?
Yes. Set the meeting language per session; Kalfi supports English, Indonesian, Spanish, Portuguese, Vietnamese, Japanese and more.
Does it remember earlier meetings?
Yes, through project threads and per-meeting summaries.
Is my data safe?
Kalfi does not save audio recordings. Audio chunks are sent to the speech-to-text model to be transcribed. On BYOK, your API key is encrypted on your device.
